Flat-Rate vs Per-User File Sharing: What a 10-Person Team Pays

Compare file-sharing costs for ten senders using flat-rate, per-user and seat-bundle plans. See why shared storage and retention can change the decision.

Flat-rate file sharing charges for a workspace or bundle; per-user pricing charges for licensed senders. For ten people, multiply the seat price by ten, then compare what that total includes. A cheaper seat bill can still buy too little storage or omit a control you need.

This example uses ten senders, a peak retained working set of 600 GB, and clients who mainly download finished files. It is an illustrative workload, not a survey of agency usage. RainFiles Downpour fits that storage requirement at $15/month for the workspace, with unlimited members.

RainFiles publishes this comparison. Prices use the billing periods shown, and each offer is evaluated against the same ten-sender example.

The ten-person monthly bill

Price examples below were recorded on 26 October 2026 using monthly billing. Filemail, Smash and EveryTransfer amounts were rechecked on 31 October; the regional WeTransfer price remains the earlier dated observation. Currencies and tax treatment are not normalized. Storage and features are not identical.

Offer Price basis Bill for ten senders Capacity or qualification
RainFiles Downpour $15/month for the workspace $15/month 1 TB shared; unlimited members
WeTransfer Teams, regional example recorded 26 October €19/user/month €190/month Up to 5 TB; confirm the account allocation
Filemail Business €24/user/month €240/month 1 TB per licensed user
Smash Team, base allowance $25/month for ten users $25/month Retention up to 30 days
EveryTransfer Enterprise $24.99/month $24.99/month 10 TB; unlimited members advertised

WeTransfer's current plan-limits guide, rechecked on 31 October 2026, lists Teams at up to 5 TB, extendable to 30 TB on request. Confirm your allocation before comparing the price of that capacity with a 1 TB plan.

Calculate the bill and the storage separately

Use licensed senders × monthly seat price for a per-user offer. For a bundle, use the smallest tier that covers all senders. For a flat workspace price, check both the included member allowance and any usage charges.

For this example, ten users at €19 each cost €190/month; a $15 workspace subscription costs $15/month. That is a comparison of billing structures, not a currency-adjusted savings claim.

A flat price does not add storage when you add people

If a team plan includes a fixed 1 TB pool, moving from five to ten members does not create a second terabyte. The team must still manage the same retained capacity.

For the 600 GB example, that leaves a nominal 400 GB before counting revisions, incomplete uploads, or any other billable files. A single large project can remove that margin quickly. If the team's working set becomes 2 TB, the 1 TB plan no longer fits regardless of its attractive seat price.

A per-user allocation can work differently. Ten licensed users with 1 TB each nominally bring 10 TB across those licenses. Confirm whether that capacity is pooled and whether one heavy user can consume another user's allocation.

The cost of the next person depends on the model

At a fixed €19 per seat, an eleventh licensed sender adds €19 a month under the same terms. Under an unlimited-member subscription, the seat component may stay unchanged. Under a ten-user bundle, the eleventh sender may require a higher tier.

That creates three different growth patterns. Do not estimate future costs from today's average price per person if your next hire crosses a bundle boundary.

Clients who only download may not need seats. Count actual workspace users, rather than multiplying the price by everyone who ever receives a file.

Retention can matter more than seats

A team sending 100 GB every week and keeping only four weekly deliveries retains roughly 400 GB. Keeping 26 weekly deliveries retains roughly 2.6 TB. The sending cadence is unchanged, but the second workflow needs much more capacity.

Agree on a client collection window and a separate archive policy before choosing storage. A 30-day delivery service can fit the first workflow while being unsuitable for six months of client access.

Lower subscription cost is only one part of value

Check which controls your team actually needs: separate identities, reliable offboarding, ownership of old deliveries, role management, recovery, and an understandable recipient experience. Do not assume a basic team offer includes every control in a larger business suite.

RainFiles Downpour fits this example's 600 GB working set within a 1 TB shared pool. Ten senders cost $15/month in total, equivalent to $1.50 each at that headcount; adding an eleventh keeps the workspace subscription at $15. Password protection and link timing controls keep client delivery in the same workflow.

Finally, identify whether the new subscription replaces an existing bill. Keeping your current suite for other work and adding a delivery service is an added cost, even when the new service is inexpensive.

Questions about team file-sharing costs

Do clients who only download need paid seats?

Count them separately from staff who upload or administer files. Many delivery workflows allow outside recipients without a sender license, but confirm the selected provider's access rules. Do not multiply a per-user price by every client automatically.

Does an unlimited-member plan include unlimited storage?

No. Ten RainFiles Downpour members share the same 1 TB allowance; inviting an eleventh does not add another terabyte. Compare your peak retained files with the shared pool before choosing by headcount.

Is a yearly price comparable with a monthly subscription?

Show the upfront commitment and billing period. A quoted monthly equivalent may require annual or multi-year prepayment. Keep currencies separate unless you state an exchange rate and date.
