TransferNow Team Alternatives: Options Beyond 10 Users

Need more than ten TransferNow Team users? Compare five options by sender access, shared storage and administration, with a checklist for growing agencies.

TransferNow Team currently includes ten users, 2 TB of shared storage, and a 500 GB transfer allowance. If more than ten people need sender access, compare its Enterprise option with other team services before moving your files.

Headcount is only one requirement. An 18-person agency with a 600 GB working set needs a different plan from an 18-person post-production team keeping 6 TB online. Count senders, retained files, and required controls together.

This guide is published by RainFiles. The shortlist focuses on separate sender accounts, shared capacity, and access after someone leaves the team.

TransferNow is a useful example. Its pricing page captured on 15 May 2024 advertised up to 25 Team users. The current offer includes 10. That is 15 fewer included users, a 60% difference between the two observed offers. Archived pricing, current pricing.

This comparison does not establish when the allowance changed or whether existing customers kept their earlier terms. It does show why an agency with 18 people should check today's allowance rather than rely on an older review.

Other allowances improved

The same comparison shows larger limits elsewhere: Premium storage moved from 500 GB to 1 TB, and Team's transfer ceiling moved from 250 GB to 500 GB. Team storage remains 2 TB in the two observations. A smaller user allowance does not mean every part of the offer became worse. Historical offer, current offer.

For a four-person studio sending larger packages, today's mix may be more useful. For an 18-person agency sending modest files, member access may matter more.

Count senders, administrators, and clients separately

Make a list of everyone who creates deliveries, manages existing ones, or needs administrative access. Then list clients who only download.

Those are different roles. A plan with ten team seats may serve hundreds of external recipients, depending on its sharing rules. Conversely, a contractor who uploads every Friday may need a paid seat even though they are not an employee.

For an 18-person agency, the relevant question is not simply “How many people work here?” It is “How many separate identities need access to this workspace, with which permissions?”

Compare an Enterprise quote before moving

TransferNow lists an Enterprise plan with custom users, transfer size and storage. Request the configuration you actually need before assuming a new service is the only route beyond ten users.

For an 18-person agency, write down the sender count, peak retained gigabytes, file-reception needs, branding requirements, and who can remove access. Use that same list for every quote. RainFiles supports delivery and team access, but this comparison does not establish matching custom branding, SSO, or client file requests.

Five options to evaluate

Option Why it belongs on the shortlist Question for an 18-person agency
RainFiles Downpour Unlimited members at $15/month Does the team's active delivery work fit within 1 TB shared?
Smash Team Team tiers beyond the base ten users What is the selected higher-seat price?
Filemail Business Licenses add individual capacity What does the full licensed team cost?
EveryTransfer Enterprise Advertises unlimited members Do its controls fit your workflow?
Google Drive May already be part of your work suite Can existing accounts handle external delivery?

1. RainFiles Downpour for a shared member allowance

RainFiles Downpour includes unlimited members for $15/month, sharing 1 TB. An 18-person team pays the same workspace subscription as a ten-person team. Add producers, designers, and contractors without stepping into another seat bundle.

It fits when headcount is the pressure point and your retained delivery files fit within 1 TB. Password protection, unlimited transfer and download counts, and links without scheduled expiry cover recurring client handoffs. Ongoing link availability depends on an active subscription and the files remaining stored.

2. Smash Team with a larger user allowance

Smash's pricing page lists Team choices beyond the base ten accounts, including 20 and higher. Select the actual user allowance before comparing prices. Smash Team options.

For 18 senders, compare the appropriate tier with your real requirement. An advertised entry price for ten users is not the price of the configuration you need.

3. Filemail Business with licensed capacity

Filemail Business allocates 1 TB per user. That can be useful when access and retained capacity need to grow together. Filemail plans.

Ask whether your staff all need Business access, how ownership transfers when someone leaves, and whether central management fits your process. A larger bill can still be sensible if it buys capacity and controls the team needs.

4. EveryTransfer Enterprise

EveryTransfer's published Enterprise plan lists $24.99/month, 10 TB, and unlimited team members. It offers another way to add senders without multiplying the subscription by headcount. EveryTransfer pricing.

Evaluate an actual project, support expectations, and offboarding. A large allowance is a starting point for selection rather than proof that every operational requirement is covered.

5. Google Drive within an existing subscription

If staff already have managed Google accounts, moving final deliverables into an appropriately shared folder could reduce the need for a separate sender account on another platform. External access depends on folder permissions and organizational policy. Drive sharing.

Check the client's experience as well as the team's. Clients should receive a clear final delivery, not a confusing collection of working drafts.

Choose for next quarter's team

Compare the expected number of senders, the peak working set, and your offboarding needs. Leave room for contractors and a busy production period. Get legacy terms in writing before giving them up.

A good plan fits both the people using it and the files they retain. Continue with the ten-person pricing comparison, which separates subscription costs from storage and feature differences.

Questions when your agency passes ten senders

Do we have to leave TransferNow to add more users?

Not necessarily. TransferNow also lists an Enterprise option with custom user and capacity terms. Ask for a quote, then compare it with the cost and disruption of switching. The ten-user Team allowance is not the limit of every TransferNow offer.

Did every existing Team account lose fifteen seats?

The archived and current pages show different offers. They do not establish the exact change date or that every legacy customer was forced onto the smaller allowance. Check your own contract before planning a move.

Can we avoid seat costs by sharing one login?

Use separate identities for people who manage deliveries. They make access removal and ownership clearer when contractors leave. Compare the cost of supported individual access rather than assuming a shared credential is an equivalent team setup.
