How to Switch From WeTransfer Without Disrupting Client Deliveries
Move from WeTransfer without breaking client handoffs. Inventory live links, test a replacement, and use a copyable email template before cancelling.
To switch from WeTransfer, inventory the links clients still need, recover the approved source files, and test the replacement with an outside recipient. Keep the old service available until each live delivery has either been collected or replaced.
You do not need to move every completed job on day one. Start with the deliveries that have an open collection window or a client commitment, then use the new workflow for incoming work.
The checklist and client email below work with any replacement provider. Where RainFiles settings are mentioned, check the selected plan before using them on a live job.
1. Write down why you are moving
Be specific about the problem: a renewal price, a send allowance, retained storage, expired links, or missing workflow features. Each points to a different replacement.
A cheaper subscription may not solve a retention problem. A larger storage plan may not solve an included-user limit. If the old service is still needed for another part of the workflow, a second subscription may add to the bill.
Historical changes are useful context, but your own account terms decide the move. WeTransfer's archived migration notice distinguishes discontinued plans from retained Premium benefits, so check the actual renewal notice before surrendering a legacy entitlement. Archived migration notice.
2. Make an inventory of live commitments
Create a simple delivery register. Use whatever export or account tools are available, and fill gaps manually; an automatic migration is not assumed.
| Field | Why it matters |
|---|---|
| Client and project | Identifies who needs an update |
| Current delivery link | Shows which URL will be affected |
| Source-file location | Confirms you can recreate the package |
| File size and approved version | Prevents an incomplete or outdated replacement |
| Required collection deadline | Sets the overlap period |
| Access controls | Records what protection the replacement needs |
| Replacement link and confirmation | Tracks completion |
Include links embedded in client portals, project-management tasks, email templates, and proposals. Moving the files does not update those references.
3. Separate the archive from delivery copies
Confirm that the files exist in storage you control before allowing an old link to expire. Download any required originals while access is available, and check that they open.
Do not make the replacement service your only copy during migration. A new upload can fail, permissions can be wrong, and the wrong revision can be selected. For important masters, compare file sizes and checksums as described in the original-quality video guide.
Workflow features need separate planning. WeTransfer's Reviews and Portals were phased out during late 2025, with content removal scheduled for 22 December. A new file-delivery link does not recreate review comments or approvals; WeTransfer identified Previews as its replacement approach. Official phase-out notice.
4. Test one representative project
Create your RainFiles account and choose the plan for your retained files and collection window. Upload the approved originals, set the password and link timing, and copy the new delivery link into your register. Drizzle supports links up to 15 days; Downpour keeps links available without scheduled expiry while your subscription is active and the files remain stored.
Pick a package close to your normal delivery size, with the same folder structure and access controls. Test as both sender and outside recipient.
- Confirm that the upload finishes and the full package appears.
- Open the link without your employee session.
- Check the password or invitation flow you intend to use.
- Download the files and confirm the approved version opens.
- Verify the collection window and storage consumed.
- Ask the recipient whether the instructions were clear.
For a large package, reserve enough time for a real upload and download. A successful test with a 1 MB document does not establish that a 100 GB handoff will work smoothly.
5. Send clients one clear update
Use a short message focused on their next action. You do not need to explain your entire supplier decision.
Subject: Updated download link for [project]
Hi [name],
Your approved files for [project] are available here:
[new delivery link]
The package contains [contents/version] and is approximately [size].
Please download it by [date, time, time zone].
[Password/access instructions, if applicable.]
The previous WeTransfer link will remain available until [date].
Please use the new link for future collection and confirm that the files open.
If you need more time, reply before the collection deadline.
Thanks,
[name]
Use that overlap sentence only if you have verified the old link will remain available through the stated date. Share a password separately when that suits the access policy. If you cannot preserve overlap, explain the exact cutoff and provide the replacement in advance.
6. Close the old workflow carefully
Update your delivery templates and internal instructions. Check who owns the new workspace, who can remove team members, and who receives billing or expiry notices. Confirm which clients still rely on old links before cancelling.
Keep a record of the completed migration and any remaining obligations. Avoid promising that an old provider URL will automatically redirect: you normally need to replace the link where it was shared.
Use RainFiles for new projects as you retire the old links. With Downpour, you can give the whole sending team access for one $15/month subscription and keep client links available without scheduling repeated re-uploads.
Start your shortlist with five alternatives after WeTransfer's price changes. If your main frustration is expired access, compare links without scheduled expiry.
Questions before cancelling WeTransfer
Can I keep my old WeTransfer links after switching?
Treat them as dependent on the old account's settings and terms. A new provider does not take over URLs on WeTransfer's domain. Record where each important link was shared and replace it there.
Can RainFiles import my WeTransfer deliveries automatically?
This workflow uses files you can access and new RainFiles delivery links. It does not include an automatic WeTransfer import or a redirect from the old links. Download any needed originals while the old service still allows access.
When is it safe to cancel the old subscription?
After checking the account's cancellation terms, confirming source copies, and resolving every live client commitment in your register. A fixed overlap of a few days is insufficient if a client was promised a longer collection period.
