Account information

We use your email to sign you in and keep your account accessible. We keep your profile name, workspace memberships, invitations, plan and recovery dates, historical trial dates and transfer details. Workspace permissions limit who can see this information. We also record which Terms you agreed to, when you agreed and where you accepted them. Accepting the Terms is separate from consent to optional processing.

Files and payments

We store uploaded files, their names and sizes, and the sharing settings you choose so recipients can access them. We use information about access attempts to protect links and prevent abuse. For payments, we keep order references, amounts, currency, payment status and paid periods. Payment providers handle checkout information directly. We send billing reminders, confirmations and notices about expiry or deletion to the workspace owner. Never send card numbers through our request forms.

Support and other requests

Request forms collect the category, contact email, any reference you supply, messages and case history. A private access key lets you follow your own case. A contact email or possession of that key does not verify ownership of an account or payment. Staff must verify identity and authority before disclosing account data or taking sensitive actions.

Service providers

We use service providers for sign-in, hosting, file storage, email delivery, payments, security and website analytics. They receive information needed for their role, which may include connection and security information. Payment providers may also have their own legal obligations. See Service providers for more information or contact us about the providers relevant to your data.

Website analytics

We use analytics to understand how people use the website, measure visits and identify visiting companies. This can involve connection information, pages visited, the website that referred you, and browser or device information. Cookies or similar browser storage may help recognize repeat visits. See Cookies and browser storage for purposes and controls. Use Contact or support@rainfiles.com for analytics-related privacy requests.

Browser storage

Your browser remembers your sign-in and selected workspace. Security checks on forms help prevent automated abuse. See Cookies and browser storage for purposes, persistence and controls.

Purposes and legal bases

RainFiles.com uses account and workspace information to provide the requested service, payment records to administer transactions, and request records to respond to issues and exercise or defend rights. Where applicable, necessary processing for an account holder’s service uses contract as its legal basis; security, fraud prevention and appropriate business-contact administration may rely on legitimate interests balanced against individual rights. Legal obligations can require specific records or disclosures. Any processing that requires consent must obtain it separately; agreement to the Terms is not blanket privacy consent.

Retention and deletion

Account and workspace records are kept for service administration and reviewed when deletion is requested. Request records are kept for handling, review and necessary evidence; payment records may be retained for applicable accounting and dispute requirements. Signing out does not delete these records. Use Contact to request account deletion. Free workspaces within 1 GB do not enter deletion because of billing expiry. When paid or legacy access ends above 1 GB, transfers enter deletion after seven days unless storage is reduced or paid access restored. Existing accounts receive at least seven days from the Free-plan transition. Deleted files cannot be recovered. Deletion requests receive individual review, including any necessary legal or security retention. Removing all stored copies can take additional time; this Policy does not promise a fixed completion date.

Account security and historical records

New accounts do not create trial-eligibility records. Historical records linked to an email may remain from the former trial system pending a retention and necessity review. These remain personal data and are not erased by signing out. You can ask us to review whether keeping them is still necessary. We also use security information to prevent misuse and protect accounts and shared files.

Processing roles and international access

RainFiles.com is responsible for its account administration, billing, security and request-handling activities. A business customer remains responsible for its own lawful instructions and notices where RainFiles.com processes customer data on its behalf under an agreed data-processing arrangement. Provider roles and applicable transfer safeguards depend on the activity and agreement. Hosting files in a particular location does not by itself limit all provider processing or support access to that location. Contact us for information relevant to your data.

Your rights and complaints

Use Contact or support@rainfiles.com to request access, correction, applicable deletion, portability, restriction or objection, or to withdraw a consent. You can use these routes without signing in. We may need proportionate identity verification and will explain any refusal or lawful limitation. You may ask for review of a decision and complain to the relevant data-protection authority. Withdrawing consent does not affect processing lawfully completed before withdrawal.
